The three-way match runs on its own, and only mismatches reach a person
Before a supplier invoice can be paid, someone proves the invoice, its purchase order, and the receiving record all agree, then works out who is allowed to approve it. We reconcile the three, route a clean match on your delegation-of-authority matrix, and flag a mismatch, a short shipment or a price that moved, for a person instead of paying it.
Three documents have to agree before anything pays, and a person proves it
A supplier invoice lands, and before it can be paid someone confirms three things line up: the invoice, the purchase order it bills against, and the receiving record that says the goods actually arrived. Quantities, prices, and what was received all have to match.
When the receiving record is missing, they chase it. When it all agrees, they work out who is allowed to approve the spend and forward it on. That reconciliation sits in front of every payment, one invoice at a time.
The system reconciles the three documents and routes a clean match itself
We pull the invoice from the mailbox, extract the vendor, line items, and amount, and reconcile it against the purchase order and the receiving record: quantities, prices, and what was received. A clean match routes on your delegation-of-authority matrix, the rule for who can approve which spend at what amount and in what category, straight to the person who can sign for it.
Working out the approver used to be a lookup done by hand on every invoice. The matrix applies itself.
A mismatch is flagged for a person, not paid
A short shipment, a price above the one on the PO, a receiving record that never arrived: the exception is flagged for a person with the three records attached, and decided on the real numbers. Nothing pays itself. The AP and receiving desks stop matching every line and go back to working the exceptions that need judgment.
