A manual process lives in the tools no one designed for it. Controlled documents sit as a folder tree of Word files on a shared drive, with the current revision, its signatures, and the record of who has read it in three different places. The monthly numbers live in a master spreadsheet someone rebuilds by hand. Approvals move over email, and one that stalls starts over from the top.
Nothing holds the whole process, so finding the current version means knowing where someone filed it, and moving it forward means knowing who to chase. The work runs on the people who remember.
We move the process into a database and enforce the lifecycle in software
The documents come out of the folder tree and into a database. The spreadsheet crosswalks a team ran by hand become real data, cleaned once in code, with each new month appended instead of rebuilt. The states of the process become the software itself: draft, in-review, approved, effective, signed with re-authentication, and no one approves their own work.
Every record carries its own attributes, so the team filters and searches for the current version instead of hunting for it. The control is enforced, not a convention people are trusted to follow.
The repetitive steps automate, and a person stays on the judgment
Once the data is reachable and the lifecycle is real, the repetitive steps run on their own. Attachments come out of a mailbox, the vendor and line items and amount are extracted, checked against the delegation-of-authority matrix, and routed to the person who can sign for them. An approval that times out escalates instead of restarting.
The knowledge that used to move the process stops living in heads. An agent reaches the formal record, the tribal knowledge nobody wrote down, and the software how-tos, and tiles them into one answer that grows from use. It answers with a citation to the document and revision, and every output is a proposal a person signs off.
The team stops being the layer that files, re-keys, and routes by hand, and moves to the decisions only it can make.
