Onboarding runs as a controlled flow, not a checklist per hire
A new hire triggers the same sequence every time: send the policies, collect the signed forms, gather the acknowledgements, chase the ones that stall. Today a person runs it by hand, once per hire. We build onboarding as a controlled flow that sends the current documents, captures every signature and acknowledgement as a record, and shows what is still open, so the team runs it by exception.
A per-hire checklist has no memory and no status
Every new hire runs the team through the same steps: send the handbook and the policies, collect the signed forms, capture the acknowledgement that each was read, and follow up on whatever did not come back. A person does it by hand, and the state of it lives in that person's inbox and their memory of who still owes what.
Nothing tells you at a glance which of ten new hires has a form outstanding. Finding out means opening the folder for each one. The next hire starts the sequence over from zero, carrying nothing forward.
The flow sends the documents and captures each sign-off as a record
We build onboarding on the same controlled-document lifecycle we use everywhere: draft, in-review, approved, effective. A new hire starts the flow, the current version of each policy and form goes out, and every signature and acknowledgement comes back captured with re-authentication and tied to a person and a time.
Because the documents are versioned, a hire receives the policy that is in force, not a stale copy someone kept. The acknowledgement that they read it is a real record from the moment it is captured, not an email someone has to remember to keep.
The team runs onboarding by exception
The flow shows what is open across every hire in motion: who has signed, what is still outstanding, and where a sign-off has stalled. Instead of working a checklist per person, the team works the exceptions, the forms that have not come back.
A knowledge agent over the same policy material answers the questions a new hire would otherwise bring to a person, so the flow carries the routine and the team steps in only where it has to.
